Fractional Operations Integrator

Real Magic is entering a focused growth phase, and we are seeking a highly capable Strategic Operations & Systems Integrator to bring structure, clarity, and executional precision to our organization. This is not a traditional VA role. You will work directly with leadership to optimize systems, improve workflows, increase operational efficiency, and support revenue execution in a fast-moving, international environment. We are looking for someone who thinks in processes, sees gaps before they become problems, and takes ownership of execution from idea to implementation. This is a remote role , and part time with possibility of full time for someone based in the EU, US. or Canada • Please note: • Hourly rate range (80 - 100) is in USD per hour Key Responsibilities Systems & Process Optimization • Audit and improve internal workflows across operations, sales, marketing, and fulfillment • Build and document SOPs • Create and maintain operational dashboards and performance trackers • Improve and maintain CRM structure (GoHighLevel) and automation flows • Identify bottlenecks and implement efficiency upgrades Technical Integration & Automation • Design and implement automations across CRM, email, payments, and project management tools • Integrate tools (Zapier, GoHighLevel, ClickUp, Stripe, etc.) • Reduce manual admin through systems architecture • Ensure data accuracy across platforms Financial & Operational Oversight • Support cash flow tracking and reporting • Monitor billing, invoices, and payment flows • Improve commission tracking systems • Support leadership with weekly performance metrics Events & Program Execution • Coordinate operational logistics for live and virtual events • Ensure ticketing, access, and CRM tagging are optimized • Support launch execution from an operational standpoint • Maintain clarity between sales, fulfillment, and delivery teams Leadership Support • Act as a right hand to Operations • Maintain accountability rhythms and reporting • Drive weekly clarity around priorities • Own task flow in ClickUp and internal coordination What You Are Not • A task-taker waiting for instructions • A generic VA • A short-term executor Qualifications: • 3+ years in operations, integrator, or systems roles • Strong CRM experience (GoHighLevel required) • Experience designing automations and integrations • Ability to build clean SOP documentation • Financial literacy (comfortable with tracking revenue, commissions, and expenses) • Strong written communication • Structured, disciplined, and calm under pressure • Based in the EU or US (required) Bonus: • Experience supporting founders or scaling online businesses • Event operations experience • Profit-first or cash-flow discipline familiarity What We Offer: • Fully remote role (EU or US based) • High ownership and autonomy • Direct access to leadership • Strategic influence on company growth • Opportunity to scale into Director of Operations role
