As a Scheduling Specialist, you will play a vital role in ensuring that our patients and referring providers receive efficient, timely, and exceptional service.

Why This Role Is Important
As a Scheduling Specialist at MGBMG, you will be the first point of contact for patients and referring providers, providing a seamless and caring experience for everyone. You will work in a fully remote, telephone-based environment, managing incoming calls, handling referrals, and completing patient registrations. Your exceptional customer service skills, attention to detail, and ability to work in a fast-paced environment will make you a valuable asset to our team.
Key Responsibilities
- Act as the primary point of contact for patients and referring providers, coordinating new patient registrations and scheduling appointments.
- Enter patient demographics, medical information, and referrals into our system, ensuring accurate registration.
- Answer incoming calls, triage requests, and provide courteous, professional service to all customers.
- Provide patients with basic information and instructions regarding appointments and services.
- Coordinate additional services, such as interpreters and transport, as needed by patients.
- Ensure that medical records are available to healthcare providers for patient appointments.
- Maintain detailed and accurate documentation of calls, referrals, and scheduling in our systems.
- Deliver exceptional customer service, supporting patients and healthcare providers through clear communication and problem-solving.
- Maintain patient privacy and confidentiality, adhering to HIPAA guidelines.
What You'll Need to Succeed
Essential Qualifications:
- High School Diploma required; Associate’s Degree or Secretarial Training preferred.
- Experience in a medical office or healthcare setting is required.
- Prior customer service experience, particularly in a contact/call center environment, is preferred.
- Basic computer skills, including proficiency in Microsoft Outlook, Excel, and data entry.
- Strong communication and interpersonal skills, with a professional and compassionate approach.
Preferred Qualifications:
- Completion of a Medical Terminology course.
- Epic software experience.
- Ability to quickly learn and adapt to new technologies and software.
- Problem-solving skills and attention to detail in a dynamic, fast-paced environment.
- Flexibility and comfort with changing responsibilities and processes.
