Note: The job is a remote job and is open to candidates in USA. Ascertain is building AI agents to automate the administrative work that burdens care teams. They are seeking a highly organized Executive Operations Assistant to support their Executive Team by managing calendars, coordinating meetings, and ensuring smooth follow-through on priorities.
Responsibilities
- Managing scheduling and calendars for the Executive Team, including coordinating internal and external meetings across time zones, flagging conflicts, and protecting prep time
- Coordinating meeting logistics such as ordering lunches, booking rooms, and creating guest passes
- Preparing meetings (both virtual and in-person) by confirming agendas, collecting and distributing pre-reads, and setting up agendas and tasks in ClickUp
- Capture meeting decisions and action items, track follow-through, and follow up with owners on deadlines
- Assist with coordination between Marketing and Commercial teams, track deliverables and deadlines, and proactively flag gaps, risks, or missed follow-ups

- Available 9am-5pm EST
- Adaptable and excited to learn
- Strong calendar management and prioritization skills
- Excellent written and verbal communication
- Comfortable working with tools such as Google Calendar, Zoom, and ClickUp
- Highly organized, detail-oriented, and proactive
- Ability to handle sensitive information with discretion
- Team player
- Experience supporting executives in a scheduling, operations, marketing, or administrative role
