Job Description
We are seeking an experienced and highly skilled Virtual Assistant to join our team in Los Angeles, USA. As a Virtual Assistant, you will play a critical role in supporting our logistics and operations division, providing administrative and related assistance to ensure the smooth execution of our daily operations. Key Responsibilities
- Survey and confirm for precision weekly and monthly delivery requests (UPS, FedEx, etc.), prepare and contribute to internal charging software, coding to the suitable Dodger divisions.
- Keep up with precise and coordinated records connected with open Buy Requests, their current status and expected fulfillment plan, and retrieve and maintain verification of delivery back-up documentation from both internal and external parties while working with the Arena Administrations and Operations group to complete finished tasks.
- Assist with handling open Buy Requests against transportation documentation, and lift any disputes, cheats, or deficient orders to the board.
- Act as a coordinator to Front Office for same-day courier/dispatch pick-ups, with an understanding of the fast-paced and delicate nature of such tasks, acting with a need to keep moving as proper.
- Log all incoming Clubhouse mail and packages, per MLB BSOP requirements, for review and monthly submission.
- Communicate with internal divisions, and assist with organizing the dissemination of items received to the right division, working with Arena Administrations and Operations staff.
- Ability to maintain focus on records, of changing details, for an extended period, through completion, applying strong areas of strength for an of numerical and logical thinking for data review and entry.
Essential Qualifications and Capabilities
To be successful in this role, you will need to possess the following qualifications and capabilities:
- Ability to learn Quadient S.M.A.R.T. software, Agree, and create and maintain accounting sheets through Microsoft Excel, or other internal software.
- Displays an elevated level of organization and attention to detail, while handling multiple tasks and projects simultaneously.
- Ability to clearly communicate, both orally face-to-face and in writing, to multiple offices and Dodger elements across different time zones.
- Ability to maintain strict confidentiality concerning sensitive data.
- At least 2+ years of experience in data entry.

- Knowledge of Microsoft Office, particularly Excel, and other internal software.
