Construction Operations & Scheduling Coordinator - Contract to Hire

What We Need We need a reliable, detail-driven Construction Operations Coordinator to run the day-to-day operational flow of our jobs. This role is responsible for making sure nothing falls through the cracks from the moment a job comes in, through scheduling, communication, documentation, and all the way to invoice-ready closeout. You are not just entering data. You are owning the system that keeps jobs moving. You Are A Good Fit If You: -Think in processes, checklists, and systems -Can take scattered information and turn it into a clean, organized job -Are comfortable working across multiple platforms at once -Communicate clearly and professionally with property managers, unit occupants, and field crews -Catch missing information before it becomes a problem -Actively look for ways to simplify and improve workflows -Follow instructions exactly, but also know when to flag issues What You Will Own -Job intake from AppFolio, email, and text -BuilderTrend job creation, tagging, and organization -Drafting and managing daily and weekly schedules -Confirming appointments with occupants and crews -Ensuring daily logs, photos, and descriptions are complete -Tracking receipts and job costs daily -Drafting invoices accurately and consistently -Updating lead and job statuses -Maintaining SOPs and workflow diagrams -Identifying gaps, inefficiencies, and improvements in our systems This Role Is Not For Someone Who: -Needs constant supervision -Is uncomfortable making decisions or asking clarifying questions -Dislikes structured systems and documentation -Struggles with follow-through or organization -Wants purely reactive or task-only work What Success Looks Like -Jobs are scheduled correctly and on time -Crews know exactly where they need to be and what they’re doing -Occupants and managers are informed and not chasing updates -Daily logs and photos are complete -Invoices go out clean, accurate, and on schedule -Processes get smoother over time instead of more chaotic BottomLine You will be the operational backbone of the company.
