We are seeking a highly skilled and detail-oriented Tax Preparer and Administrative Assistant to support a growing tax and advisory firm. This role is ideal for a professional who is experienced in tax preparation and also capable of managing administrative workflows, client communications, and document organization.
The ideal candidate is proactive, highly organized, and able to manage multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities:
Tax Preparation:
Prepare and review individual tax returns (Form 1040)
• Prepare business tax returns (S-Corporations, Partnerships, and Schedule C businesses)
• Analyze client financials and supporting documents for accuracy and completeness
• Identify missing information and follow up with clients as needed
• Ensure compliance with current IRS regulations and tax laws
Administrative and Client Support:
• Communicate with clients via email, phone, and text in a professional manner
• Follow up with clients to collect required documents and information
• Track the status of all client files and maintain organized workflows
• Upload, download, and organize documents within Google Drive
• Maintain and update spreadsheets in Google Sheets
• Assist with scheduling, task management, and daily operational support
• Workflow and Reporting:
• Provide daily updates including:
• * Completed tasks
• Pending tasks
• Follow-ups scheduled (1-day, 7-day, and 30-day intervals)
• Analyze workload and prioritize tasks based on deadlines and urgency
• Maintain accuracy and organization across multiple client files simultaneously
Required Qualifications:
• Proven experience preparing individual and business tax returns
• Strong understanding of federal tax compliance and reporting
• Proficiency in Google Drive, Google Sheets, and Google Docs
• Ability to manage and organize large volumes of documents and data
• Strong written and verbal communication skills
• High attention to detail and accuracy
• Ability to work independently in a remote environment
• Must have a personal computer and reliable internet connection
• Must have a personal phone for client communication
Preferred Qualifications (Not Required but Strongly Valued):
• Experience with QuickBooks Online
• Understanding of bookkeeping and financial statements
• Experience working in a CPA firm or tax preparation environment
• Familiarity with workflow systems and client management tools (e.g., TaxDome)
