Schedule: Monday to Friday, 8:00 AM – 5:00 PM CST (1-hour unpaid break) Total Weekly Hours: 40 hours Job Overview: The Project Coordinator - Scheduling Coordinator is responsible for managing and coordinating project schedules to ensure the timely and efficient completion of tasks across various projects. This position requires strong organizational skills, clear communication, and proactive follow-ups to maintain smooth operations. The coordinator will work closely with internal teams, field staff, and customers to ensure all project requirements are met on schedule. Additionally, the role will involve providing administrative assistance, ensuring seamless operations both on-site and behind the scenes. Key Responsibilities: Project Scheduling & Coordination: ● Coordinate and manage project schedules to ensure tasks are completed on time. ● Maintain and update detailed schedules for all active projects, ensuring that resources are available and deadlines are met. ● Track project progress and communicate any delays or adjustments needed to stakeholders. ● Work proactively to ensure project timelines are met, adjusting schedules as needed. Customer Communication & Timely Follow-Ups: ● Serve as the primary point of contact for customers, ensuring regular and timely updates on project status. ● Address customer inquiries promptly, ensuring they are informed about changes or delays in project timelines. ● Follow up with customers after each project milestone to ensure satisfaction and resolve any issues that may arise. ● Maintain strong relationships with customers by providing excellent service and support throughout the project lifecycle. Resource Allocation & Management: ● Coordinate with project managers and department heads to ensure efficient allocation of resources (personnel, materials, equipment). ● Adjust resource allocation as necessary to accommodate schedule changes or unavailability. ● Ensure all materials and resources are available and prepared in advance of installations or field work. Field Operations Coordination: ● Work closely with field teams to ensure they are fully informed about their responsibilities and scheduled tasks. ● Coordinate logistics for site visits, installations, deliveries, and client meetings, maintaining clear communication to avoid confusion or delays. Documentation & Record-Keeping: ● Maintain accurate, up-to-date records of project schedules, communications, and progress reports. ● Ensure that all documentation is stored properly for easy access and reference. Track and report project milestones and completion statuses, ensuring all necessary paperwork is completed in a timely manner. Problem-Solving & Troubleshooting: ● Identify and address any scheduling issues or delays, working with internal teams to resolve them quickly. ● Implement solutions to minimize disruptions and ensure the smooth flow of projects. Quality Control & Safety Compliance: ● Ensure that projects adhere to safety guidelines and company quality standards. ● Collaborate with teams to maintain high levels of quality and safe work practices on-site. Reporting & Feedback: ● Provide regular updates on project status, timelines, and potential delays to management. ● Collect and act on client feedback to improve scheduling processes and client satisfaction. Administrative Support: ● Assist in administrative tasks such as data entry, document organization, and coordination for various departments. ● Provide support for the scheduling and coordination of company events or internal projects as needed. ● Manage incoming communications, including emails, phone calls, and messages from clients and staff. Skills & Qualifications: ● High school diploma or equivalent; Bachelor’s degree in project management, construction management, or a related field is preferred. ● 3-5 years of experience in project coordination, scheduling, or logistics, with a focus on construction or manufacturing industries. ● Strong organizational skills and attention to detail, with the ability to handle multiple projects simultaneously. ● Excellent verbal and written communication abilities. ● Proficiency in project management software (e.g., Asana, Trello, Microsoft Project, etc.). ● Ability to work effectively under pressure and prioritize tasks in a fast-paced environment. ● Bilingual English/Spanish is preferred but not required.
