This role is responsible for preparing complex monthly invoices for time-and-materials consulting work, ensuring accuracy, timeliness, and alignment with client requirements. Working closely with the firm’s bookkeeper, this position supports financial reporting, expense management, and operational controls. The Office Administrator also coordinates across leadership, staff, and vendors to maintain smooth operations, support HR and compliance functions, and contribute to a well-organized, professional work environment.  About Us  Future Energy Enterprises is a consulting and technical services firm that supports integrated clean energy programs. FutEE provides strategic, regulatory, analytical, and engineering expertise, along with software and process solutions, to help design, manage, and evaluate effective energy programs, including managing the California Technical Forum and the California electronic Technical Reference Manual.  Work Arrangement  • Fully remote position • Candidates must be residents of Illinois and available for occasional in-person meetings in Chicago or Champaign  Responsibilities  • Prepare and manage complex monthly invoices for time-and-materials consulting projects, ensuring accuracy and timely submission, including approval of employee time and expense reports.  • Work closely with the bookkeeper to review and approve financial reports from QuickBooks.  • Coordinate day-to-day office operations, including scheduling, internal communications, maintaining organized records, office equipment, and supplies.  • Support HR administration, including onboarding and offboarding, benefits coordination, and personnel records.  • Act as a coordinator for company compliance with SOC 2 requirements, financial controls, and firm policies.  • Coordinate internal meetings, events, and culture activities.    Minimum Qualifications  • Experience: Eight to ten years of experience in office administration, accounting support, or a related role. • Education: Bachelor’s Degree in Business Administration, Accounting, or a related field (or equivalent experience). • Skills: Proficiency in Microsoft Office applications, particularly Excel; experience with accounting software such as QuickBooks; strong attention to detail and accuracy.  Preferred Qualifications  • Experience with time-and-materials billing in a consulting or professional services environment  • Familiarity with HR administration   • Experience supporting small to mid-sized professional services firms  • Interest in or exposure to the energy or consulting industry    Competencies  • Strong organizational skills with the ability to manage multiple priorities  • Excellent written and verbal communication skills  • Detail-oriented, reliable, and comfortable working independently
