Senior HubSpot Consultant: Zoom Integration, Event Tracking & CRM Architecture Overview: I’m looking for an experienced HubSpot consultant to diagnose and optimize a Zoom integration and design a clean, scalable system for tracking community engagement through events. This is a short, high-impact project with potential for ongoing CRM and automation work. Context: Zoom is connected via the native integration, but registration and attendance data are not reliably syncing to HubSpot contacts or activity timelines. I host recurring community-based events and want a robust way to track engagement over time. Scope of Work: 1. Integration Diagnosis & Resolution Identify root cause of missing Zoom registration/attendance data. Resolve configuration, permissions, or structural issues. Ensure reliable contact creation and activity tracking 2. Multi-User & Event Coverage Enable tracking across multiple internal hosts Define best practices for shared Zoom usage within a team 3. External Event Data Capture Design a clean workflow for importing third-party event data Implement tagging/segmentation strategy 4. Engagement Tracking Architecture Design a scalable system to track participation over time Enable reporting such as “engaged this month/quarter” Support multiple event types (large and small group formats) 5. CRM Optimization Recommend and implement best practices across: Properties, Lists, Workflows, Advise on lightweight automation tools (Zapier/Make) only if necessary Deliverables Reliable Zoom → HubSpot data flow (or well-defined workaround). Structured engagement tracking system. Clear documentation and/or recorded walkthrough. Strategic recommendations for future improvements Project Details Estimated 2–5 hours Strong preference for clean, simple, maintainable solutions Opportunity for continued work if there’s a strong fit Ideal Candidate Advanced HubSpot experience (automation, data structure, integrations) Deep familiarity with Zoom + CRM event tracking limitations Strong systems thinker who prioritizes simplicity and scalability Able to clearly explain decisions and tradeoffs
