Company: Workwarp Position: Executive Administrative Assistant - Remote (NJ Based) Location: Remote (Must reside within commuting distance to Madison, NJ) Compensation: Competitive Salary ($75,000 - $85,000) Start Date: Immediate This is a remote position based in New Jersey, requiring the candidate to reside within a reasonable distance of our headquarters in Madison, NJ. The Executive Administrative Assistant will provide high-level support to the Chief Marketing Officer for Coldwell Banker, managing day-to-day activities for brand marketing leadership and overseeing departmental programs and relationships with affiliate marketing directors. Responsibilities: Manage calendars, travel arrangements, expense reporting, and meeting coordination for the SVP of Marketing, VP of Brand Marketing, VP of Communications & PR, and VP of Luxury. Serve as the department liaison with legal, managing contract routing, approvals, and expense approvals. Maintain and update the Colwell Banker residential and commercial marketing director database, including personnel changes, communications, and quarterly virtual updates. Coordinate the onboarding process for new marketing personnel in collaboration with HR, IT, and the marketing team. Lead coordinator for department team live events, including IT coordination, pre-event sessions, and event direction. Manage P-card purchasing and approvals. Partner with other departments to plan department, brand, and company-wide events, addressing scheduling and logistical details. Maintain comprehensive and accurate corporate records, documents, and reports. Perform minor accounting and bookkeeping duties, such as invoice routing and vendor setup. Collaborate with the marketing team on program development and implementation. Ensure creative marketing materials are reviewed regularly and adhere to brand guidelines. Identify short-term and long-range issues impacting marketing effectiveness, providing information, recommendations, and implementing directives. Maintain professional and technical knowledge through workshops, networking, and participation in brand/company resource groups. Requirements: Proven administrative support experience. Experience with domestic and international travel, calendar management, meeting planning, scheduling, and logistics. Proficient in expense management systems. Tech-savvy with advanced proficiency in MS Office Suite (Outlook, Word, PowerPoint, Excel) and Concur. Excellent written and verbal communication skills, with the ability to interact with all levels of staff. Exceptional attention to detail and follow-up skills.
