About the position The Administrative Assistant 3 position at the Washington State Criminal Justice Training Commission (WSCJTC) is designed for a detail-oriented professional who will manage and process contracts for law enforcement instructors. This role emphasizes customer service, communication, and organizational skills, with opportunities for remote work after initial training. The position supports the Basic Training Division by ensuring compliance with contract requirements and facilitating effective communication with stakeholders. Responsibilities • Coordinate contracting process for independent, direct-buy contracts for instructors and instructional assistants as requested by the Commander and Assistant Commanders. , • Draft, process, and execute direct-buy contracts, ensuring contractors understand requirements and coordinating receipt of necessary paperwork. , • Review required qualifications and documentation with prospective contractors to ensure contract obligations are met. , • Draft, request, and execute interagency contracts, communicating with stakeholder agencies under Memorandum of Understanding for services. , • Process and maintain division agreements for services and facilities, including lodging, food, and facility use to support training operations. , • Coordinate travel plans for staff and instructors. Requirements • High school diploma or GED equivalent. , • At least three (3) years of progressively responsible experience in professional office, clerical, or general administrative work. , • Experience taking initiative and self-motivation. , • Ability to make independent decisions using sound judgment and complete tasks independently with minimal supervision. , • Strong organizational and analytic skills with attention to detail. , • Positive interpersonal and customer service skills to maintain effective working relationships. , • Professional communication skills, both orally and in writing. , • Ability to multi-task, adapt to changing priorities, and meet deadlines. , • Excellent knowledge of Microsoft programs including Word, Excel, and PowerPoint. , • Ability to maintain confidentiality of restricted or private information. Nice-to-haves • Two-year college degree in a criminal justice, law enforcement, legal, or education program. , • Experience drafting, executing, and/or managing service contracts. , • Experience with database systems. , • Experience with Washington State procurement and contracting rules and processes.
